How the freelance rate is calculated
The calculator works backwards from the money you want to keep. It adds back income tax and business expenses to find the revenue you need, then spreads that revenue over the hours you can really bill.
- Profit before tax = take-home income ÷ (1 − tax rate)
- Revenue needed = profit before tax + business expenses
- Billable hours per year = (52 − weeks off) × billable hours per week
- Hourly rate = revenue needed ÷ billable hours per year
- Day rate = hourly rate × hours in a billable day
Expenses are added after the tax step because in most tax systems business expenses are deducted before profit is taxed. If your local rules differ, adjust the tax rate.
Worked example
You want to keep $60,000 a year. Your expenses are $10,000, your effective tax rate is 25 %, you can bill 25 hours a week and you take 6 weeks off.
- Profit before tax: $60,000 ÷ 0.75 = $80,000
- Revenue needed: $80,000 + $10,000 = $90,000
- Billable hours: (52 − 6) × 25 = 1,150 hours
- Hourly rate: $90,000 ÷ 1,150 = $78.26
- Day rate (8 hours): $626.09
Notice how much the billable hours matter. With 35 billable hours a week instead of 25, the same goal needs only $55.90 an hour. Being realistic about non-billable time is the most common thing new freelancers get wrong.

Frequently asked questions
How many billable hours per week should I assume? +
Fewer than you work. Admin, sales calls, invoicing, learning and finding new clients all take time nobody pays for. Many freelancers bill somewhere between 20 and 30 hours in a 40-hour week, but track your own time for a few weeks and use your real number.
Should the tax rate be my top tax bracket? +
Use your effective rate: the share of profit that actually goes to income tax and social contributions after deductions. If you are not sure, look at last year's return or ask an accountant. A slightly higher rate gives you a safety buffer.
Is the result the rate I should charge? +
It is your minimum, the rate at which you reach your income goal if you stay fully booked. Your market rate depends on your niche, experience and the value you deliver, and it can be well above this number. Charging below it means you are paying to work.
How do I turn the hourly rate into a project price? +
Estimate the hours the project needs, add a buffer for revisions and communication (often 15 to 30 %), and multiply by your hourly rate. Then decide whether to show the client a fixed price instead of hours.
What expenses should I include? +
Everything the business pays for in a year: software subscriptions, hardware, internet and phone, coworking, insurance, accounting, training, marketing, and contributions to a pension or health plan that an employer would otherwise pay.
